A data privacy concern has emerged at Gujarat University after photographs, signatures and examination-related details of external students were allegedly collected from publicly accessible hall tickets and circulated online. The incident has raised questions about how student information is protected when important examination documents are made available through university websites.
University officials said the material was removed after the administration was alerted. The university has also decided to change the existing system and introduce a more secure method for external students to access their hall tickets in the future.
Different systems for regular and external students
Gujarat University currently follows separate procedures for regular and external students when it comes to distributing hall tickets.
For regular students, affiliated colleges download and print the hall tickets through an authorised login system before handing them over to students.
External students, however, have been allowed to download their hall tickets directly from the university’s website. The arrangement was introduced mainly for convenience, as many external students are working, running businesses or have other commitments that make it difficult for them to visit the university personally.
While the system made access easier, the availability of the documents online also created a potential data-security risk.
Student photographs and signatures allegedly circulated
The issue came to light after it was reported that individuals had collected publicly accessible hall-ticket files and circulated information from them on social media.
The documents reportedly contained students’ photographs, signatures and examination-related information. Such details can be sensitive because photographs and signatures are commonly used for identification and verification purposes.
The university has not yet revealed how many students may have been affected or how long the documents remained accessible online. It has also not confirmed whether the information was actually misused beyond being circulated.
University plans a more secure system
After being informed about the issue, university officials said the material was taken down.
The existing open-access arrangement for external students is also set to be discontinued. From the next academic year, the university plans to introduce an authentication-based system through which students will have to verify their identity before downloading their hall tickets.
The aim is to ensure that students can still access their documents easily without making personal information openly available to anyone who can find or download the files.
A larger cybersecurity concern
The incident has also highlighted a wider issue for educational institutions: protecting large amounts of student data while keeping essential services easily accessible.
Gujarat University handles records relating to lakhs of students. Examination documents can contain several pieces of personal information, making secure storage and controlled access increasingly important.
For students, the issue is not only about the hall ticket itself but also about what can happen when personal information becomes publicly accessible. Photographs, signatures and other details can potentially be copied, stored or redistributed without the student’s knowledge.
The university’s decision to move towards an authenticated download system is therefore expected to strengthen protection of student information while continuing to provide external candidates with convenient access to their examination documents.
